TeleSolv is seeking an Administrative Assistant to provide full-time support to a client within our Federal Practice area in Washington D.C.  The position requires a minimum of four years of administrative support experience.  The ideal candidate will have provided support to senior managers within the Federal government in the recent past.

Administrative Assistant
This position provides administrative support to senior managers and staff within the client organization.  Support may be provided to primarily one individual or broadly in support of the program’s mission.  The Administrative Assistant will maintain a responsive relationship to the day-to-day administrative activities of the assigned office.  Minimal detailed supervision and guidance is provided for the conduct of various clerical and secretarial duties. The Administrative Assistant will possess or acquire the knowledge of office routine and an understanding of the organization, programs, and procedures related to the work of the office. Demonstrated proficiency with specialized programs, databases, and tools might also be required based on business needs.
  • Perform general administrative functions in support of day-to-day operations including answering telephones and providing telephone support.
  • Prepares and updates routine documentation for Government review and approval, to include presentations, memoranda, correspondence, organizational charts and reports and/or improving on the quality of existing documentation in support of program management functions, including but not limited to the use of MS Word, Excel, Access, Power Point and MS Visio.
  • Assist in maintaining the program SharePoint site including uploading materials and links.
  • Assist in the preparation and updating of phone and contact lists, and maintenance of global email lists.
  • Prepare federal employee travel authorizations.
  • Monitor multiple general and specific delivery email boxes daily; review emails to determine urgency and forward or prepare responses to emails, follow-up and route appropriately.
  • Develop forms, announcements, surveys, or other materials as determined by the government.
  • Facilitate conference room usage; and maintain schedules for use of conference rooms in MS Outlook or manually as determined by the Government.
  • Receive, inventory, store, and distribute mail and packages received by the office; package and label items to be mailed or shipped.
  • Provide data entry and information gathering support.
  • Facilitate agenda creation for conference calls.
  • Participate in meetings and briefings for the purpose of taking meeting notes and publishing meeting re-caps.
  • Setup and staff informational booths/tables at events and provide pre-printed or scripted program information.
  • Schedule and coordinate conference calls as needed.
  • Make requests for printing using the Government Printing Office (GPO) and ensure timely delivery of printed training materials. 
  • Review and reconcile documentation in electronic and or hard copy format.
  • Operate all office equipment provided including copiers, fax machines, printers, scanners, and binding machines.
 
Qualifications for this position include:
  • High School diploma required, Bachelor degree preferred
  • High-level of proficiency with MS Office suite applications
  • Ability to obtain a Security Clearance, candidates with existing clearances are preferred
  • Must be able to speak and write fluently and with a high level of proficiency in English
  • The ability to communicate effectively both orally and in writing.
