Description:
 
The professional that we seek to hire will report to the Company President and provide executive assistance. This professional will be responsible for performing tasks that include research, analysis, writing, planning, reception, and meeting support. This position requires a highly detail-oriented individual with strong organizational skills, who is professionally mature, highly motivated, and able to work effectively with a variety of stakeholders (e.g., internal and external). He/she will have the administrative responsibility to ensure that the President is efficiently and consistently well prepared by receiving, prioritizing, organizing, and responding to letters, notices, invitations, etc. received via regular mail, email, phone, text, and fax. The incumbent supports the President with tracking and reporting on project deliverables and statuses. The incumbent should be highly goal oriented, meticulous in attention to detail, able to work independently, and able to perform and communicate, effectively, in a high-pressure, fast-paced environment.  Working closely with the President the incumbent assists in the completion of special projects as they arise. The incumbent organizes and maintains a broad range of documents, to include confidential material, in a manner that enables instant access to company information. This is a multi-faceted role that requires the incumbent to shift effortlessly from routine tasks to special assignments requiring immediate attention.
 
Primary Duties and Responsibilities: 
  • Act as a primary point of contact between Executive Office and internal/external clients;
  • Create and refine formal presentation documents;
  • Prepare and distribute communications and memos;
  • Support planning and execution of meetings and events;
  • Maintain documents and files;
  • Support Company recruiting efforts, where designated by the President;
  • Manage President's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel;
  • Maintain current statuses in Company Customer Relationship Management (CRM) tool with weekly updates on potential opportunities;
  • Answer phone calls, emails, mail, etc. directed to the President from external sources; Review these requests to determine the appropriate action / follow-up; routes in-coming messages and correspondence to the appropriate department;
  • Maintain supplies and place orders on designated days;
  • Performs additional duties and tasks as assigned.
 Candidate Qualifications: 
  • Bachelor's degree required; advanced degree desired;
  • Minimum three (3) to five (5) years of experience working in a fast-paced, professional setting, managing meeting and schedule management, including experience in administration, or an equivalent combination of training and professional experience related to the duties of the position;
  • Excellent communication skills, both verbal and nonverbal;
  • Maintains customer confidence and protects operations by keeping information confidential;
  • Strong attention to detail;
  • Ability to work with multiple individuals and levels of management;
  • Excellent oral/written communication, presentation, and organizational skills;
  • Superior proofreading and note-taking skills are required, including drafting, organizing meeting agendas and follow up of meeting notes/minutes;
  • Strong organization and time management skills;
  • Experience with processing travel expenses and reimbursements;
  • Excellent with follow-up, multi-tasking and attention to detail;

  • Proven ability to handle confidential information with discretion; demonstrated proactive approaches to problem solving with strong decision-making capability and the ability to achieve high performance goals/meet deadlines in a fast-paced environment.
  • Highly resourceful team player, self-confident. Ability to set boundaries and manage expectations.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, Social Media web platforms, and CRM tools;
  • Familiarity with Federal contracting is preferred.

 Additional Information Regarding the Position: 
  • The successful candidate may be submitted for a Federal Security Clearance.
  • This position will be located at the Company’s Corporate office near the Dupont Circle Metro station.
  • This position may require some (<10%) travel.
