Our Company is seeking an experienced Staff Accountant to join our Finance Team. The Staff Accountant will be responsible for assisting with the preparation of monthly financial analysis reports, developing and maintaining department budgets and generating cost reports. The successful candidate will also collect pertinent information for third party audits, oversee financial reporting and operations, generate reports, manage charge codes and will be a point of contact for accounting issues.

General Purpose of the Position:
  • To support the CEO and Senior Accountant in carrying out the responsibilities of the Finance / Accounting Department.
  • To relieve the CEO and Senior Accountant of certain responsibilities that will allow them to spend a greater portion of their time on Financial Statement preparation and analysis, Budget and Variance issues, and Forecasting.
  • Areas of activity may include accounts receivable, accounts payable, cash receipts, payroll, general ledger entries, financial report preparation and reconciliation, bank statements, treasury, contracts and grants, budget reporting, and tax statement reporting. 
Primary Duties and Responsibilities:

  • Assist in the day-to-day activities of the Finance Department, including General Ledger, Accounts Receivable, Accounts Payable, Payroll and departmental mail.
  • Process payroll in an accurate and timely manner.
  • Process purchase orders, expense reports and invoices in an accurate and timely manner in accordance with departmental procedures.
  • File taxes so that all requirements are met while avoiding overpayment.
  • Record bills and cash disbursements.
  • Process and reconcile Company credit cards.
  • Verify and post transactions to journals, ledgers and other records.
  • Maintain Accounts Payable and Accounts Receivable aging reports.
  • Review invoices and expense reports for accuracy and process payments.
  • Draft internal financial reports and supporting schedules.
  • Maintain vendor files.
  • Perform monthly financial statements for senior management review.
  • Assist Senior Accountant with month-end close.
  • Process Accounts Payable paperwork at completion of the check run.
  • Prepare mailings and priority shipments for the Finance/Accounting Department.
  • Assist Senior Accountant with PTO update and tracking.
  • Recognize and report prepaid and depreciable assets to Senior Accountant.
  • Assist CEO/Managing Director with 401(k) system.
  • Assist the CEO in tracking and maintaining company insurance.
  • Perform such other accounting, financial, or administrative tasks as may be required from time to time – quite often on short notice - by the CEO or Managing Director.
  • Regularly maintain detailed reconciliations of all balance sheet accounts.
  • Prepare and reconcile Federal financial reports and schedules.
  • Keep management advised and up-to-date on technical accounting and reporting requirements including all federal financial management policies and practices and GAAP standards.
  • Respond to inquiries from internal and external customers. Maintain direct communications with internal customers including program financial management staff regarding various receipts and expenses for billing and financial reporting purposes. Support internal customers through ad-hoc data collection, reporting, analysis and special projects. 
  • Bachelor’s Degree in Accounting or Finance and two years’ Accounting experience preferred, Associate’s Degree in relevant field and four years’ Accounting experience preferred, or equivalent six years’ Accounting experience can be substituted for either degree.
  • Intermediate skills in MS Word and Excel Proficient in computerized accounting software and Microsoft Office suite of products (word processing, spreadsheets, e-mail, etc.).
  • Strong analytical, problem-solving, written and oral communication skills.
  • Ability to manage multiple projects simultaneously.
  • Strong organizational and analytical skills.
  • Able to read and understand technical forms and financial reports.
  • Accounting documentation experience preferred.
  • Must be organized, flexible and able to multi-task effectively in a fast-paced accounting environment.
  • Maintains an appropriate standard of confidentiality. When handling secure, privileged, sensitive, or confidential information and matters, maintains strict confidence and exercises care to prevent disclosure to others. Accesses confidential information for work-related reasons only following the policies and procedures of the organization. Ensures that any privileged, sensitive, or confidential information is securely stored, disposed of, and transmitted according to the Institutional guidance.

  • Plan and handle high volume with close attention to detail, outstanding numerical accuracy and meticulous follow-through. Commitment to continuous process improvement.
  • Federal accounting experience strongly desired.
  • Experience with PROCAS and/or Deltek software desired.
