About The Position: The Administrative Assistant will administer, monitor, and control the full range of administrative, clerical, and internal management support functions for the contract. The selected candidate may serve as the focal point and information resource for the organization’s supervisors and employees on administrative procedures and requirements and should provide procedural advice on administrative procedures.
Duties / Responsibilities:
Supply Management- Maintain a sufficient amount of supplies at each type of supply station, track and update inventory as supplies are being restocked.
Reservation System- Coordinate and schedule long term workstation and room reservations in the Book IT system. Coordinate with Book IT administrator to add new employees and/or make modifications to the system. Provide monthly utilization reports.
Meeting Setup- Provide technical and labor support of all meeting and conferences which includes preparing video conference equipment, camera/audio adjustments and laptop hookups for presentations. Troubleshooting as needed on audio video equipment. Set up table and chairs before meetings and/or conferences.
Customer Service Alongside IT- Respond to IT service calls and emails, track and input all requests and make sure they are completed in a timely manner, provide training on conference room equipment as needed.
Floor Coordination- Manage conference, huddle, break, pantry, supply, and other common rooms, Replenishment of supplies, report building issues, coordinate clean up days and routine maintenance. Coordinate as a work team to complete room setups and ensure conference and break rooms are in proper order.
Fleet Management- Manage the routine maintenance schedule of Government Owned vehicles (car washes, oil changes, etc.). Maintain vehicle records. Manage fleet reservations, compete tasks to check in and check out vehicles. Conduct inspections on fleet vehicles.
Management of Community Storage- Manage and maintain the delivery and return of storage units for new and departing employees while maintaining proper inventory records.
Print Management- Includes changing toners, adding paper, and investigating service requests (paper jams, error messages, paper trays etc.).
Records Management-Coordinate as a team to meet with the vendor for monthly Shred-it Bin collection.
Reporting- Provide weekly, monthly, and quarterly reports of space issues • Other administrative duties may be assigned as needed.
Three (3) years of administrative experience in an office setting, preferably within a Government agency or Contractor.
Three (3) years of demonstrated experience with Microsoft Office programs to include Word, Excel, and PowerPoint, as well as Scanners, Printers and Copiers.
Three (3) years of demonstrating excellent communication and customer service skills.
Three (3) years of demonstrated knowledge of office equipment and basic accounting.
The ability to lift and carry up to 50lbs.
Valid driver’s license.
COVID-19 vaccination unless an approved medical or religious exemption is granted.
Active Public Trust clearance, or the ability to obtain one.
High school diploma or equivalent.
Previous Government Contracting Experience.
Knowledge of Google Office (Docs, Sheets, Slides) is a plus.
