Duties / Responsibilities:

The Secretary I performs a combination of various clerical and administrative duties.  Overall tasks to be performed in each area include, but are not limited to:
  • Schedule and coordinate various meetings, teleconferences, and interviews, to include preparing meeting materials, set up of conference rooms, recording meeting minutes, and arranging and disseminating information regarding meeting and teleconferences.
  • Respond to calls and email correspondence from customers, personnel and public regarding requests for information, building services and client services.
  • Prepare various executive level correspondence and reports in support of Regional Management.
  • Sort and assemble records, in hard copy and electronic form, to ensure in accordance with appropriate records management file plan, numbering systems or alphabetical order.
  • Maintain and/or track internal office documentation, files and reports (such as but not limited to: timekeeping, travel documents, purchase card transactions, training plans/records, correspondence controls, office equipment listings, personnel records, etc.).
  • Research and utilize data from automated and manual files and to prepare clear and concise reports on trends and performance metrics.
  • Plan and organize workload received from numerous organizational levels and to establish follow-up mechanisms and control systems.
  • Process approved requisition orders for supplies, printing, maintenance or other services for Regional Office.
  • Performs other miscellaneous duties such as making travel plans, assisting Government employee in the preparation of travel authorizations and expense reports, maintaining time and attendance reports, making copies, and arranging for conference rooms.
Minimum Requirements​​
  • High School Diploma.
  • Public Trust clearance or the ability to obtain and maintain one.
  • Two (2) years of administrative experience in an office, setting performing duties similar in scope.  
  • Five (5) years of demonstrated experience with Microsoft Window based computer operating systems and Microsoft Office programs to include Word, Excel, Access, and Outlook email system, as well as Scanners, Printers and Copiers.
  • Two (2) years of demonstrated experience compiling and organizing reports, exercising efficient typing skills and superb attention to detail.
  • COVID-19 vaccination unless an approved medical or religious exemption is granted.

Preferred Qualifications
  • Previous Executive Assistant experience supporting C-Suite
  • Previous Government Contracting Experience
  • Five (5) years of experience administrative/clerical experience; three (3) years of experience in calendar management.
