Duties / Responsibilities:
The Secretary II p
erforms a combination of various clerical and administrative duties.  Overall tasks to be performed in each area include, but are not limited to:
  • Maintain staff reception office area, greet, and direct visitors to the appropriate staff.
  • Respond, in a timely and professional manner, to calls and email correspondence from customers, personnel and public regarding requests for information, building services and client services.
  • Coordinate and schedule various meetings, teleconferences, and interviews, to include preparing meeting materials, set up of conference rooms, recording meeting minutes, and arranging and disseminating information regarding meeting and teleconferences.
  • Manage the calendar schedules for executives.
  • Maintain personnel files and employee records, filing documents and correspondence pertaining to time and attendance, personnel actions, reports, awards and other memorandums and various reoccurring work files.
  • Prepare information required for budget reports.
  • Maintain access to various shared computer drives and internal databases containing assessments, memorandums, guard inspection reports, etc.
  • Prepare correspondence, documentation or mailing labels copying data from one record to another and files records accordingly.
  • Receive, sort and distribute incoming mail; and prepare outgoing mail for delivery to include overnight express services and use of on-line express mail services.
  • Collect and disseminate vehicle mileage and maintenance information monthly or as required.
  • Maintain inventory equipment lists.
  • Assemble and disseminate routine reports.
  • Track assigned cases ensuring all reports have been completed and submitted to the field personnel for appropriate review and approval.
  • Consolidate and update the biweekly and monthly spreadsheets.
Minimum Requirements​​:
  • High School diploma.
  • Active Public Trust; or the ability to obtain and maintain one.
  • Two (2) years of administrative experience in an office, performing duties similar in scope.
  • Two (2) years of demonstrated experience with Microsoft Window based computer operating systems and Microsoft Office programs to include Word, Excel, Access, and Outlook email system, as well as Scanners, Printers and Copiers.
  • One (1) year of demonstrated experience compiling and organizing reports, exercising efficient typing skills and superb attention to detail.
  • COVID-19 vaccination unless an approved medical or religious exemption is granted.
Preferred Qualifications:
  • Previous Executive Assistant experience supporting C-Suite.
  • Previous government contracting experience.
  • Five (5) years of administrative/clerical experience.
